Policies
We want every client to have a smooth and enjoyable experience. These policies outline our ordering process, design approach, pickup and delivery expectations, and cake care guidelines to help ensure every order is completed successfully.
Ordering & Payment
-
A non-refundable retainer is required to reserve your event date.
-
Your order is not confirmed until the retainer has been received.
-
The remaining balance is due no later than 14 days prior to the scheduled pickup or delivery date.
-
Orders requested within 14 days of the scheduled pickup or delivery date may be accepted at the discretion of The Buttercream Collection, subject to availability. If accepted, payment in full is required at the time the order is confirmed.
-
Orders with an unpaid balance by the due date may be canceled, and the reserved event date may be forfeited.
-
Cakes cannot be released for pickup or delivery until the balance has been paid in full.
Design Process
Every cake is custom designed for each client.
Clients are encouraged to share inspiration photos, color palettes, floral ideas, and design preferences. These elements help guide the creative process while allowing each cake to be thoughtfully designed with The Buttercream Collection's signature style.
Rather than creating exact replicas, each cake is an original design inspired by the ideas discussed throughout the planning process. Minor design adjustments may be accommodated before decorating begins. Once production has started, changes may not be possible.
Pickup
Pickup appointments are scheduled in advance.
Please arrive within your scheduled pickup window. If you anticipate being late, contact us as soon as possible. Extended delays may affect scheduling for other clients and may require a new pickup time.
Clients are responsible for transporting cakes on a flat, level surface in a clean, air-conditioned vehicle. Cakes should never be transported on a seat, in direct sunlight, or in the trunk of a vehicle unless the surface is completely flat and climate controlled.
Responsibility for the cake transfers to the client once the order has been picked up.
Delivery & Venue Access
Delivery is available for select orders.
To ensure a smooth delivery, clients must provide accurate venue information before the event, including:
-
Venue name and address
-
Delivery contact
-
Delivery time
-
Parking instructions
-
Loading dock or service entrance information (if applicable)
-
Elevator availability
-
Stair access
-
Any venue restrictions or security requirements
The display table should be assembled, level, sturdy, and ready before delivery.
Failure to provide important access information may result in delivery delays.
Cake Care
Cakes should remain refrigerated until needed.
Buttercream is sensitive to heat, humidity, and direct sunlight. Cakes should be displayed indoors whenever possible and kept away from heat sources.
For the best taste and texture, allow the cake to come to room temperature before serving.
Allergies
Products are prepared in compliance with Florida's Cottage Food Law.
Although reasonable care is taken during preparation, products are not produced in an allergen-free environment and may come into contact with common allergens including wheat, eggs, dairy, soy, peanuts, and tree nuts.
Fresh Flowers
Fresh flowers may be incorporated into your cake design, subject to seasonal availability.
Clients may choose one of the following options:
-
The Buttercream Collection may source and provide fresh flowers upon request, subject to seasonal availability. For simple floral arrangements, such as standard roses, a flat floral fee may be available and will be discussed during the design process.
-
Clients may provide their own fresh flowers.
-
A florist may place fresh flowers on the cake at the venue after delivery.
The Buttercream Collection is not responsible for the quality, freshness, handling, or placement of flowers supplied or installed by the client or a third party, including a florist.
Photography
The Buttercream Collection may photograph completed cakes for use in its portfolio, website, social media, and other marketing materials.
If you prefer that your cake not be photographed or shared, please let us know before your event, and your request will be respected.
Cancellations
The retainer is non-refundable and reserves your event date.
If an order is canceled, any payments made beyond the non-refundable retainer may be refunded at the sole discretion of The Buttercream Collection, depending on the stage of production and expenses already incurred.
Responsibility After Pickup or Delivery
Once a cake has been picked up by the client or accepted at the delivery location, responsibility transfers to the client or venue.
The Buttercream Collection is not responsible for damage resulting from transportation, improper handling, venue staff, weather, excessive heat or humidity, accidents, or any conditions beyond our control.
Serving & Storage
Serving sizes are approximate and may vary depending on how the cake is cut.
Any leftover cake should be refrigerated promptly in an airtight container. For the best quality, enjoy within 3–5 days or freeze properly wrapped for longer storage.
